- Family Life Communications, a leader in Christian ministry for over 40 years, is seeking a self-motivated individual who has a heart for service. The right person for this position acts as strategic partner to President by proactively assessing and addressing ministry needs and by supporting/contributing to key initiatives for optimum results.
Family Life Communications is currently looking to fill a position for an EXECUTIVE ASSISTANT TO PRESIDENT
Essential Functions:
* Acts as Strategic Partner and Project Manager for the President's office; sets priorities, meets deadlines and follows up with a minimum amount of supervision; takes lead in creative processes (thinks and behaves strategically); manages/drives special projects related to the Intentional Living (IL) program and other ministry programs & events
· Plans directs and coordinates all internal and external business activity on behalf of the President and serves as liaison between the President and the rest of the organization's stakeholders
· Anticipates President's needs and proactively brings together appropriate people and other resources to support President in addressing issues
· Directs the preparation of administrative and financial reports; conducts research and writes proposals, analyzes and interprets information; compiles and analyzes data and prepares special reports and operating budgets (includes overseeing monthly expense budget and authorizing office expenditures)
· Makes independent decisions within established guidelines
· Analyzes administrative and operational functions; reviews department policies, procedures and systems for optimum efficiency; makes recommendations and implements appropriate changes and system improvements
· Interprets and implements FLC rules, regulations, policies and procedures
· Performs various administrative functions including, but not limited to, preparing presentations, coordinating various Executive Leadership meetings, compiling/disseminating agendas, minutes & action items, processing weekly purchase order requests, invoices, charges, reimbursements, proofreading/editing letters/memos and other documents, and coordinating travel for the President and Board members
· Coordinates quarterly Board meetings; compiles/distributes Board notebooks, coordinates meeting logistics and travel for all Board members
· Assists with fundraising and donor cultivation campaigns; maintains donor relationships
Knowledge, Skills and Abilities:
* Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
· Excellent oral and written business communication skills; able to communicate tactfully and professionally with all ministry stakeholders (i.e., staff, board of directors, and donors)
· Excellent organizational and decision-making skills with skill in planning, coordinating and establishing priorities
· High level of interpersonal skills including demonstrated ability to handle sensitive and confidential situations with poise, tact and diplomacy
· Excellent writing/editing & calendar management skills
· Knowledge of accounting and budgeting procedures and techniques
· Analytical skills to extract and verify data; ability to problem solve and make timely decisions
· Strong attention to detail with ability to handle multiple tasks and projects; ability to work both efficiently and effectively under pressure
· Ability to work independently with only general supervision, using sound judgment in recognizing scope of authority and urgency of particular situations
· A servant leader with strong work ethic and high regard for confidentiality
· Demonstrated understanding of Marketing and Publishing processes and concepts
· Proficiency in internet and other types of research
· Ability to occasionally work evenings/weekends in support of the President in Ministry initiatives
· Ability to travel in order to support the President at various ministry events
· Valid, clean AZ driver's license/record
Qualifications and Other Requirements:
* Bachelor's degree in Business or related area; or equivalent education and experience
· Minimum of five (5) years of increasingly responsible experience in an administrative support role with at least three (3) of those years being in an executive level support role
Preferred:
· Master's in Business or related field
· Marketing and/or publishing exp
· Experience with project management and strategic planning
· Familiarity with MS Project and related theories and applications
· Experience in Six Sigma Quality Assurance Methodology
· Previous experience in broadcast communications industry and/or working within a non-profit organization
